A Job Change Order shows the summary of variations for all Active<\/strong> jobs. You can manage these variations in the specific Job by creating one or multiple Job Change Orders that are further approved or rejected by the Customer.<\/span><\/p>\n\n\n\n

List of Job Variations<\/h2>\n\n\n\n

There are two ways to open the list of Job Variations<\/strong>.<\/span><\/p>\n\n\n\n

Way #1<\/b><\/p>\n\n\n\n

  1. To view the list of Job change Orders, on the navigational sidebar select <\/span>Jobs<\/b>.<\/span><\/li>\n\n\n\n
  2. In the expanded Sales section, select <\/span>Job Variations<\/b>.<\/span><\/li>\n<\/ol>\n\n\n\n

    <\/p>\n\n\n\n

    3. Search for a specific job. To do that, click the search \"\" icon. <\/span><\/p>\n\n\n\n

    4. Toggles can be used to show more\/less projects in the list. Toggles are available for:<\/p>\n\n\n\n

    a. Finalised Jobs<\/p>\n\n\n\n

    b. Not Proceeding Jobs<\/p>\n\n\n\n

    5. Click the job to open the list.<\/p>\n\n\n\n

    Way #2<\/strong><\/p>\n\n\n\n

    1. To view the list of Job Variations<\/strong>, on the navigational sidebar select Jobs<\/strong>.<\/li>\n\n\n\n
    2. In the expanded Sales section, select Jobs List<\/strong>.<\/li>\n\n\n\n
    3. On the opened page search for a needed job.<\/li>\n\n\n\n
    4. Hover over the job and click the Job Variations \"\"<\/strong> icon.<\/li>\n<\/ol>\n\n\n\n

      In both cases the system opens the Job Variations<\/strong> page:<\/p>\n\n\n

      On the opened page the following information is available:<\/p>\n\n\n\n

      Job<\/strong><\/td>The predefined job number.<\/td><\/tr>
      Customer<\/strong><\/td>Customer name.<\/td><\/tr>
      Site Address<\/strong><\/td>Customer address.<\/td><\/tr>
      Change Orders table<\/strong><\/td>The grid with all Change Orders created for a particular Job.<\/td><\/tr>
      Number<\/strong><\/td>Number of Job Variation<\/strong>.<\/td><\/tr>
      Date Created<\/strong><\/td>Job Variation<\/strong> creation date.<\/td><\/tr>
      Description<\/strong><\/td>Job Variation<\/strong> description.<\/td><\/tr>
      Time Extension<\/strong><\/td>Number of days for which Job construction will be increased.<\/td><\/tr>
      Draw Stage<\/strong><\/td>Draw stage name selected for the Job Variation<\/strong>.<\/em><\/td><\/tr>
      Claimed<\/strong><\/td>The column shows whether an invoice was issued. If it was, there is the Check<\/strong> icon.<\/td><\/tr>
      Status<\/strong><\/td>Job Variation<\/strong> status. It could be:
      • Quote<\/li>
      • Approved<\/li>
      • Rejected<\/li>
      • Reversed<\/li> <\/ul> <\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n

        Create \/ Edit Job Change Order<\/h2>\n\n\n\n
          \n
        1. Navigate to the Job Variation<\/strong> list.<\/li>\n\n\n\n
        2. To add a new Job Variations<\/strong> click the Add \"\"<\/strong> icon. The page opens, as follows:<\/li>\n<\/ol>\n\n\n\n
          \"\"<\/figure>\n\n\n\n

          3. Specify information about the Job Change Order, as follows:<\/p>\n\n\n\n

          Description<\/strong><\/td>Enter the Job Variation<\/strong> description.<\/td><\/tr>
          Memo<\/strong><\/td>Enter the optional memo for the Job Variation<\/strong>.<\/td><\/tr>
          Time Extension, days<\/strong><\/td>Enter the number of days which changes in the order can last for.<\/td><\/tr>
          Stage<\/strong><\/td>Click the field and the stage from the dropdown list.<\/td><\/tr>
          Price Book<\/strong><\/td>Click the field and the price book from the dropdown list.<\/td><\/tr>
          Invoice Date<\/strong><\/td>By default the current date is selected. To change it, click the field and select a past date from the date picker.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n


          <\/p>\n\n\n\n

          4. When Job Variation<\/strong> details are specified, the Add \"\" <\/strong>icon becomes available. Click it to add Items and Components to the Job Change Order.<\/p>\n\n\n\n

          5. Once clicked, the RFQ Items & Components form opens. You can view the full list of Items or Components or browse them in breakdown by Cost Center.<\/p>\n\n\n\n

          7. Tick checkboxes next to Items or Components that you want to add to the Job Variation<\/strong>.<\/p>\n\n\n\n

          8. When complete, click Add Selected<\/strong>.<\/p>\n\n\n\n

          9. All newly added Items and Components are added to the Job Variation<\/strong> list. They are highlighted in light-orange color.<\/p>\n\n\n\n

          10. To recalculate the Job Variation<\/strong>, click Recalculate<\/strong> at the top of the page.<\/p>\n\n\n\n

          11. To save all changes, click Process<\/strong>.<\/p>\n\n\n\n

          12. Once clicked, the Job Variation<\/strong> Quote Filter forms opens. From here you will be able to send or save the Job Variation<\/strong>.<\/p>\n\n\n\n

          Save\/Send Job Variation<\/h2>\n\n\n\n

          13. The variation Quote Filter form opens once Process is clicked in the Job Variation<\/strong> Creation page.<\/p>\n\n\n\n

          14. Check the filters that apply for the quote for change order display and then click Apply<\/strong><\/p>\n\n\n\n

          15. Link to preview Quotation for Job Variation<\/strong> form will appear once a preview is generated. Click the link to preview Quotation for Job Variation<\/strong> file. When satisfied with the preview, click the Confirm<\/strong> button. <\/p>\n\n\n\n

          This will lock the Job Variation<\/strong> for any changes, and will generate the final document<\/strong>. To make changes to the Change order click the Cancel<\/strong> button.<\/p>\n\n\n\n

          The Quotation for Job Variation<\/strong> preview file opens in a new tab.<\/p>\n\n\n\n

          16. Once Confirm<\/strong> is clicked “Link to Preview Documents form opens. Click the link to preview Job Change Orders file. The Job Variation<\/strong> file opens in a new tab.<\/p>\n\n\n\n

          17. When finished, click Confirm <\/strong>to deliver the documents to the Customers and Suppliers.<\/p>\n\n\n\n

          18. The Email form will appear with the Job Variation<\/strong> attachment ready to be sent along with the information you fill into the form. When satisfied with the email template click Send<\/strong>.<\/p>\n\n\n\n

          19. The Quotation for Job Variation<\/strong> document final has been saved automatically in “Contracts and Claims” folder in the drive’s job docs.<\/p>\n\n\n\n

          Approve \/ Reject Job Variation <\/h2>\n\n\n\n

          Approve or Reject buttons will be available once the Job Variation<\/strong> final document has been generated. See Save\/Send Job Variation<\/strong> above for more details on generating the final document.<\/p>\n\n\n\n

          To Approve the Job Variation<\/strong> <\/p>\n\n\n\n

            \n
          1. In the Job Variation<\/strong> list select which Job Variation<\/strong> to approve \/ reject<\/li>\n\n\n\n
          2. Open the Job Variation<\/strong> and click the Approve<\/strong> button.<\/li>\n<\/ol>\n\n\n\n

            3. Click Process<\/strong><\/p>\n\n\n\n

            4. A warning will appear to alert you of Quantity of Cost Centres that are affected and to alert that purchase orders may be required.<\/p>\n\n\n\n

            5. Click Yes to Print the affected Cost Centre purchase orders, or no to manually make amendments to Purchase Orders. <\/p>\n\n\n\n

            6. Link to Preview Documents will appear if Yes was clicked in the warning window. Each Purchase order affected will be linked for preview. Click Confirm<\/strong> if satisfied these Purchase Order changes can be sent to the suppliers.<\/p>\n\n\n\n

            7. <\/p>\n\n\n\n

            8. Click Confirm to automatically Email the updated Purchase Order\/s to the suppliers. <\/p>\n\n\n\n

            9.  Each Preview of Purchase order will open in a new tab. Newly generated Purchase Orders are saved in the Orders Folder<\/strong> in Job Docs.<\/p>\n\n\n\n

            To Reject the Job Variation<\/strong>:<\/h3>\n\n\n\n
              \n
            1. In the Job Variation<\/strong> list select which Change Order to approve\/reject.<\/li>\n\n\n\n
            2. Open the Job Variation<\/strong> and click the Reject button<\/li>\n\n\n\n
            3. Click Process<\/strong>.<\/li>\n\n\n\n
            4. Once Processed the Status in the Job Variation<\/strong> list will appear highlighted as Rejected in Red text.<\/li>\n<\/ol>","protected":false},"excerpt":{"rendered":"
