Rollout of Sales & Slab Reporting Dates

What’s changing

We previously announced that we’ll be phasing out the Intranet, but it’s still the main hub for reporting on sales and slab numbers. Each week a scheduled task runs to send all job information from G.J. Software to the Intranet. Today we introduced the Reported Sales Date and Reported Slab Date fields to GJ5 and the reporting rules needed for more accurate reporting in the Builder Portal.

  • There are no changes to the existing Sales and Slab Dates
  • The Reporting Date rules are only applied on the 7th of the month
  • Various reports and dashboards have been updated to use the Reported Dates

Who’s impacted 

All Franchisors, Masters, and Franchisees.

Why it matters

Sales and Slabs are two of the key reporting metrics for G.J. Gardner Homes and used to determine when franchise fees are due. However, these dates can be manually changed in G.J. Software. so when they are sent to the Intranet they are locked to preserve the integrity of our reports similar to how one might lock an accounting period. Adding this functionality to the Builder Portal is one of the major hurdles to phasing out the Intranet.

A handful of changes were made to the software to accommodate this change. Let’s start off by defining Sales and Slab dates and then explaining the rules for the Reported Dates. 

Definitions

Sales Date

The Sales Date is the earliest of the following dates:

  • Deposit Date from Xero
  • Contract Date from Job Details

Slab Date

The Slab Date is the earliest for the following dates:

  • Slab Critical Path completed in the Job Schedule
  • Completion of Cost Centers nominated in Setup > System Variables > Jobs
  • 15% of the total contract value of the job is drawn

Report Dates

Reporting dates are locked on the 7th of every month. When this happens a series of rules are applied to each job to determine the Reported Sale/Slab Date. 

  • RULE 1: If the current day is before the 7th and the sale/slab date is in the previous month or later, use the sale/slab date.
  • RULE 2: If the current day is before the 7th and the sale/slab date is before the previous month, use the previous month-end date.
  • RULE 3: If the current day is the 7th or later and the sale/slab date is before the current month, use the current date.
  • RULE 4: If the current day is the 7th or later and the sale/slab date is in the current month, use the sale/slab date.

Getting started

Masters: These dates are visible on the Contracts Manager in GJ5 as well as the Billing tab that is accessible by clicking on the job from the Corporate or Master view. 

Franchises: These dates are set automatically based on normal system actions. However, you can now select them as date filters when viewing the jobs list.

Rollout pace 

This feature is available today in all regions. In the next few weeks, we will import all historic Reported and Slab Dates for Active offices from the Intranet to G.J. Software.
